Connect SonAIra to HubSpot

Use HubSpot as the CRM system of record and connect approved SonAIra workflows to contacts and call activity. First confirm the connector available for your deployment.

Status: deployment-specific implementation guide, not verified one-click installation. SonAIra describes CRM, API and MCP connectivity. A HubSpot-specific installation screen, supported event list and authentication contract have not been verified for this article. These steps are a partner checklist, not a promise that automatic two-way sync is enabled.

Can I connect SonAIra to HubSpot?

SonAIra's published integration architecture supports external connections. HubSpot exposes contacts and call-activity APIs. This provides a basis for a partner-managed connection, subject to deployment, permissions and implementation. Confirm the available connector and operations with your onboarding team before changing production data.

A proposed workflow could capture approved caller details, match or create a HubSpot contact and attach a call summary. This is not an assertion of a preinstalled workflow. SonAIra integration architecture; HubSpot Contacts API; HubSpot Calls API.

Is this HubSpot-certified?

This article does not establish a Marketplace listing, partner certification or HubSpot endorsement.

What do I need before I start?

  • An active HubSpot account and administrator authorized to approve app access.
  • A SonAIra admin/partner who can confirm the connector, triggers and secure credential configuration.
  • Agreement on source of truth, permitted fields, consent, retention and recording access.
  • An approved fictional test contact and permission to remove test activities.
  • Written sync scope: direction, records, activity types, backfill, frequency and failures.

HubSpot change: its documentation says new legacy private apps cannot be created as of October 26, 2026. Do not follow older instructions to create one. Use the current supported app platform and your partner's authentication choice; existing legacy apps are a separate maintenance case. HubSpot legacy-app notice.

How do I set up the connection?

  1. Confirm the path. Obtain the maintained connector or custom API/MCP workflow specification, installation instructions, version, events and support owner. This article intentionally does not invent a Settings → HubSpot screen.
  2. Authorize the correct account. Use the app's supported authentication method. If OAuth is used, review the account and permissions. Never give a partner your HubSpot password.
  3. Approve least privilege. Contact reads generally use crm.objects.contacts.read; writes use crm.objects.contacts.write. Confirm call and association scopes against the exact endpoint and app type. Avoid unrelated permissions.
  4. Store tokens securely. Keep credentials in server-side secret storage, never contact forms, browser code, screenshots or source control. Revoke/rotate exposed credentials.
  5. Define matching and writes. Prefer an existing HubSpot record ID. Otherwise define an explicit lookup strategy. HubSpot recommends email as a primary identifier; phone-only matching needs normalization and collision handling. A shared phone number is not a unique person.
  6. Test before enabling. An approved completed-call event could trigger lookup, call creation and contact association. The SonAIra event name/payload must come from your deployment specification, not this example.

See HubSpot's contact operations and call associations. Your partner must pin the supported API version. This guide prescribes no unverified SonAIra endpoint.

Which fields should I map?

Suggested mapping to approve with your partner
Source dataHubSpot destinationRule
Approved name/emailContact firstname, lastname, emailPreserve existing values unless updates are authorized
Normalized numberContact phone / mobilephoneAgree international format and duplicates
Call timeCall hs_timestampRequired for call creation; supported UTC/timestamp format
SummaryCall hs_call_bodyRedact unnecessary or sensitive personal data
Direction/statusSupported call propertiesMap to accepted HubSpot enumerations
Matched customerCall-to-contact associationCorrect record ID and association definition

Suggested mappings are not an enabled sync contract. Custom properties must exist and be writable. Do not log SMS or email as telephone calls just to populate a timeline. Recording URLs need a separate access/retention decision. HubSpot call properties.

How do I test the integration?

  1. Create an approved fictional contact and make a call through the actual SonAIra deployment.
  2. Confirm the correct contact is matched/created once with approved fields.
  3. Open its HubSpot timeline; verify timestamp, direction, summary and association.
  4. Repeat the event; check duplicate protection instead of assuming safe retries.
  5. Test missing email, shared number, failed authorization and restricted recordings.
  6. Confirm error queues, alerts and the pause process.
  7. Record approval before enabling real customer traffic.

Acceptance: one correct activity on the intended contact, with no duplicate after a repeated event. Authorization alone does not prove sync works.

Why are contacts or calls missing?

Authorization fails

Check account, revoked/expired credentials, scopes and supported authentication. Inspect redacted logs; never send raw tokens to support.

A contact is duplicated or wrong

Check matching keys, phone normalization, email and shared-number handling before replaying data.

A call is missing from the timeline

Check association, record ID, required timestamp, timeline filters and completed-event delivery. An unassociated call is not enough.

Only some data syncs

Review direction, writable fields and event coverage. Contact access does not imply two-way sync, real-time delivery, backfill or deal updates.

How do I disconnect?

Pause the SonAIra workflow, handle queued deliveries under the agreed policy, revoke authorization and document retained records. Disconnecting does not delete data already written.

Request integration help with your workflow and connector version, not credentials or sensitive customer data.
